Completing Your Timesheet
Ecotime is the campus electronic timekeeping system. You will enter your hours worked or exceptions on a calendar and submit to your supervisor.

Check Your Vacation and Sick Time Balances
Check your leave balances in UC Path. Once you log in, from the menu bar click Employee Actions > Leave Balances.
University Holidays
Consult with HR desk to determine if you are eligible for paid holiday hours.
Jury Duty
Employees are granted administrative leave with pay for work days spent on jury duty, not to exceed the pay for the employee's normal work day, and the employee's normal work week. It does not come from sick or vacation balances. On your timesheet, mark the numbers of hours absent and select Jury Duty from the pay codes drop down menu.
BEREAVEMENT
The University recognizes the importance of family and the difficulties employees face following the death of a family member or another person close to the employee.
VOTING
A non-exempt employee may take up to two hours of paid leave at the beginning or end of a workday to vote in local, state, or national general elections or primaries and any additional time off that is taken for this purpose is without pay.
FAMILY AND MEDICAL LEAVE
Learn about Family and Medical Leave (FML), and link to documents and forms used to set up and manage leave for UC San Diego employees.
UC employees may be able to take up to 12 weeks of unpaid Family and Medical Leave (FML) for:
- Incapacity due to:
- Pregnancy, prenatal medical care, or childbirth
- A serious health condition
- The serious health condition of a son or daughter, spouse, domestic partner (same-sex or opposite-sex), or parent
- Bonding with a newborn, adopted or foster-care child in accordance with state and federal law in effect at the time of the leave
- Military Family Leave to eligible employees with a spouse, child or parent on active duty or called to active duty.
Eligibility
To find out whether you’re eligible for FML, please contact your Department’s HR Representative.
Pay for Family Care and Bonding
If you are eligible for FML, you may also be eligible for Pay for Family Care and Bonding (PFCB). The Pay for Family Care and Bonding (PFCB) program, effective January 1, 2023, gives qualifying employees the option to replace 100% of their eligible earnings for up to eight workweeks per calendar year.

SEA PAY
The Sea Pay Policy provides additional compensation and leave options for eligible exempt SIO employees working aboard research vessels.
Key Components:
- Shipboard Differential: Employees earn a daily payment equal to their calculated Daily Rate when living aboard a vessel, including weekdays, weekends, and holidays, whether at sea or in a remote port outside San Diego.
- Shore Leave:
- Earned for working weekends and holidays at sea or in remote ports.
- Can be used as paid time off or cashed out at the Daily Rate.
- Maximum accrual is 240 hours, with any unused leave over one year automatically paid out.
- Travel Interaction: Sea Pay and travel policies cannot overlap on the same day. Travel expenses are reimbursed before reporting aboard or after departing the ship.
- Drydock Differential: During shipyard drydock periods in remote locations, employees staying in hotels receive a Drydock Differential equal to the Daily Rate, and travel policies apply.
